So, you finally made the decision to make the switch your business phone system to VoIP. Congratulations! Now that you’ve brought in a cloud based PBX to your company, there’s a bunch of exciting things to learn about and start working with. You’ve got your shiny new IP phones with all sorts of features, a dashboard to learn your way around, and more. However, before you get too excited, there are things you need to keep in mind. We’ve compile a list of things to consider after installing your VoIP system that are often overlooked.
With your system installed and incoming and outgoing calls working as expected, voicemail should be delivered, conference calls should work smoothly, calls are easily transferred, and you have your numbers set up to transfer to your mobile phone if you’re not in the office. Now, these are some of the most important and useful features to have in place:
- Music on hold (MOH)
- Auto-attendant
- Remote and traveling employee access
Auto-attendants should be configured for business hours: What messages will callers hear when business is open (e.g., dial 1 for sales, 2 for service, 3 for directions), when business is closed (identify your business hours and leave a voicemail with a callback number), holidays (special hours or specific business matters), and weekends.
Remote or traveling employees need specifics if you use a virtual private network as well as methods and procedures for access to voicemail and data networks. If you have a UC system, you should be using the basics at a minimum—presence to know who is available, IM or chat for noninvasive immediate communications.
A few capabilities are often forgotten or swept under the rug because it’s easy not to consider them important:
- Most businesses don’t think about business continuity and disaster recovery until a natural disaster occurs and business calls don’t make it through.
- Many business owners overlook trouble support processes because the expectations are that “things will just work” on the new system.
- How do you measure productivity gains?
- How do you measure VoIP calling savings?
So, there you have it. Plenty of things to consider right after you’ve installed your new VoIP system. Plenty of these things can be often overlooked so it’s important to keep them in mind. Consider making a checklist with some of these items on it so you can remember.
